Our Terms & Conditions
- General
The deposit payment of the person booking confirms that he/she accepts the following conditions and agrees to adhere to them.
- Contract
The contract is between the Main hirer and the owners, Miss Leanne Warren or Miss Rachael Hatfield. If the Hirer wishes to use our tents for commercial use this must be disclosed and agreed by the owners. If not, the owners reserve the right to cancel the booking or retain the deposit. Any damage or losses to the tent will be charged to the hirer at full cost price. (Charges listed in condition 15)
- Initial Payment
Bookings will be confirmed by the owner after the initial 25% non refundable deposit of the overall cost has been received by Starbright Hideaways. It is the hirer’s responsibility to ensure T’s & C’s are read. When full payment is received a confirmation email will be sent to the main hirer along with the sleeping arrangements form.
- Balance Payment
The balance of the tent hire must be made 12 weeks before the event. If an event is booked without 12 weeks notice full balance will need to be paid immediately.
- Defaulted payments
In default of the remainder of the balance the Owners reserve the right to cancel the event and impose cancellation fees as detailed in condition 6.
- Cancellations
Any deposit is non refundable. No refunds will be given for any cancellations within the two calendar months prior to the event.
- Alterations
The owners will strive to complete any changes made by the client, however; reserves the right to charge a £10 administration fee and any additional costs that may be incurred.
- Alterations and Cancellations by the owners
In the event that conditions beyond the Owners control occur on the date of your event, such as extreme weather conditions (Storms, high winds, torrential rain), the Main hirer accepts that these tents are designed for normal conditions that are not suited for extreme weather. The owner will contact you about any concerns at the earliest opportunity to discuss options and agree a resolution. In this situation a full refund will be returned to the main hirer minus any costs that the Owners have paid prior to the event. The owners must put the safety of the clients, guests, staff and equipment first and the owners final decision regarding safety is final.
- Amenities
The use of accommodation and amenities at the venue when hiring equipment from the owner is entirely at the users risk and no responsibility can be accepted for any injury, loss or damage to users or guests belongings.
- Personal Belongings
Baggage and personal belongings are at the users or guests risks at all times.
- Motor Vehicle
No responsibility can be accepted for loss or damage to any vehicle or belongings left in a vehicle.
- Hirer’s Responsibility
The Owners will not accept liability for any accidents, loss, damage, expense or inconvenience to a person or property which the main hirer or his/her party may incur arising out of or in connection to our hire. The owners advise strongly that the hirer takes out his/her own insurance to cover the event. During the period of hire, the tents and all associated equipment must not be left on an unattended site. This will result in loss of your deposit. No smoking or cooking is permitted in any of our tents or with in 5 feet of our tents.
- Provision of Bedding & Beds
All beds will be checked prior to the hire and will only be provided in full working order. If an airbed deflates or a bed collapses during the hire the owners accept no liability and the damaged or broken item may be deducted from your deposit. (See condition 14/15)
- Loss, Damage or Theft of Equipment Hired
All equipment will be checked before it is hired out, if there are any issues prior to your hire they will be recorded for and confirmed by email. You will not be charged for these. Everything must be returned in the state in which it was loaned to you. The charges listed below detail how much can be charged for lost/damaged items and neglect. The hirer will be sent the bill for these, upon booking you agree to the below costs. The owner reserves the right to charge a fair amount for any additional items that may not be included in the list. You will be given a list of these prior to your hire if there are any. Charges are based on the costs to clean, repair or replace items.
Problem & Charge:
Damage to the tent incl. pole & groundsheet – £200 per tent
Dirty tent or groundsheet as a result of negligent use – £150 per tent
Damaged or missing airbed – £10 each item
Damaged or missing bedside crates – £15 each item
Damaged or missing bedding incl. duvet, pillows, Rugs or cushions – £35 per tent
Missing or damaged ornaments – £5 each item
Damaged or missing fairy lights and battery operated candles – £5 each item
Bodily fluids found inside and/or on the tents – £200 per tent
Knocked over drinks permanently damaging our tents or equipment – £200 per tent
Damaged guy ropes – £5 each
Damage to exterior decorations – £5 each
Damage to star light tent (internal or external) tables, poles, benches – £100 – £200 depending on severity
- Complaints
If you are unhappy with any of the services or equipment provided to you by Starbright Hideaways please contact either of the owners on the provided contact numbers, or on collection of the equipment so that they have the opportunity to rectify the grievance during or immediately after your hire. The owners will do their best to ensure that you are 110% satisfied.
- Identity
When the Main hirer returns the paperwork to the booked venue, this will be requested in the event of any equipment that is vandalized or stolen will be reported to the police and your identification will be provided to them if required.
- Vacating the Tents – agreed to the same time as Vacating the Venue.
When the owners send the confirmation email there will be a vacation time. If the tents are not vacated by this time a late fee of £10 every 15 minutes may be applied.
19. Health and Safety
Starbright Hideaways Ltd operate a strict no smoking policy inside the bell tents.
Candles and flames are not permitted inside the bell tents. Battery operated lighting will be provided.
For your protection and safety, cooking is prohibited inside the bell tents. Firepits and BBQ can cause fires and the release of carbon monoxide.
Fire pits should be situated a minimum of 4m away from the tents
- GDPR
All clients details will be stored following Data protection legislation.
